Our commitment to you

Young Life Australia is committed to protecting your privacy and we recognise the trust you are placing in us through your dealings with us. We value our supporters, volunteers, and staff –as well as the young people and communities we serve.  Any information that you provide to Young Life Australia remains private and is only used for the purposes outlined below. The identity of any person or organisation who contacts us or is employed by us is kept confidential.

Your rights to privacy are also protected under federal law. The Privacy Act 1988 and the Australian Privacy Principles place strict requirements on us to treat any information you give us as confidential.

Collecting your information

We collect information about individuals including supporters, volunteers, contractors and employees for the purpose of carrying out our business, including fundraising activities.

Unless you choose otherwise, you do not have to provide any personal information. If you do choose to provide information, then we may collect it in the following ways:

  • By filling out a form through the website, at an event or that is sent to you in the mail;
  • Completing a survey;
  • Contacting us by mail or social media;
  • Calling us; and
  • Photographs, images or audio recordings provided by you or taken at Young Life activities.

We will typically ask you for the following details, depending on the method of collection and on your interests:

  • Personal details (title, name, date of birth, gender, marital status);
  • Contact details (address, e-mail, mobile and phone number);
  • Financial information (bank account, credit card details, donation history, purchase history);
  • Records of your contact with Young Life (attendance at events);
  • Employee and volunteer data (qualifications, experience, employment history);
  • Information that will help us tailor our communications so that we are able to cater to your specific interests, such as:
    • what makes you passionate about issues impacting young people;
    • your faith;
    • your values;
    • your opinions;
    • your professional profile; and
    • other information that may help us to notify you of any developments within Young Life that you may be interested in.

This information is only collected with your consent.  You may decline or choose what information to provide to us (including being anonymous or using a pseudonym).  However without your personal information, we may not be able to provide a tax deduction for your donation or other information as may be required from time to time.

Sometimes we might collect your information from someone else, such as:

  • From a parent or guardian if you are under 18; and
  • If we purchase or access a marketing list you have agreed to be on.

If you provide information to us about someone else, you must ensure you are entitled to provide that information to us without the need for us to take any additional steps in respect to how we use and disclose that information.  You must ensure the individual concerned has given their consent.

Attending activities, camps or volunteering

If you or your child (under 18) is attending a Young Life activity or camp, we may also collect medical information, Medicare and doctor’s information and next of kin details. This information will be accessed only in the case of an emergency.

If you are over 18 and are employed or volunteering with Young Life, you will be required to supply your child protection details as required by law.

If you fail to provide such information, Young Life may refuse participation at the activity or camp based on our risk management procedures and policies.

Giving you control, how to change, access or opt out

It is our policy to give our supporters, employees, stakeholders, clients, Government and non-Government organisations, as well as private individuals, access to the information we hold on them. This is consistent with our commitment to transparency.

If you want to update, correct or access any information that you have previously given us, or if you want to opt out of future communications:

  • you can mail a request (contact details above) or return mail

How we use your information

We will use your information as you expect.  If you are a supporter we will process your donations, send receipts, newsletters or updates on the work of Young Life and marketing information, invitations to fundraising events and Young Life functions.  It is important to keep you informed about how your support is making a difference in the lives of young people and the communities we serve.  We want to encourage you to remain aware of the needs of young people and let you know of financial and other partnership opportunities.

Young Life area offices will have access to limited information of supporters, individuals, and employees, stakeholders, clients, Government and non-Government organisations in order to assist them in doing their job in their local community.

From time to time we may disclose your personal information (where relevant) to:

  • volunteers, agent, contractors and third party providers who we retain in connection with supporter activities including mailing houses and printing companies
  • contractors who we retain to provide services in connection with Young Life’s database practices
  • organisers or hosts of Young Life functions that you choose to attend
  • other entities as required by law.

In each instance you information will be provided to the third party for a limited and defined purpose.  We also take reasonable steps to ensure these organisations are bound by confidentiality obligations when handling your personal information.

Young Life will not lease, sell or exchange your information to or with other parties in Australia or overseas without your consent.

Information Security

The security of your information is important to us. When we have collected information about you it will not be seen or modified by anyone outside of Young Life. We take all reasonable efforts to ensure that your information is up to date and is stored securely.  Most of your personal information is securely and safely stored in our electronic supporter database.  Any hard copy information is kept securely.

Our website uses secure response forms when we ask for your personal and financial information.  We work hard to keep your information safe by having effective systems in place.  Any information which we no longer require is deleted, de-identified or destroyed.

Staff and volunteers are required to sign a Code of Conduct agreement and comply with our privacy policy.

Where we use external contractors, such as a mailing house to send you our mail, any personal information disclosed to the contractor remains confidential to us.

Notification of a data breach

We will comply with the notification and other requirements of the Act where your personal information held by us has been inadvertently lost or disclosed or improperly accessed and that loss, disclosure or access may result in serious harm to you.

If there are reasonable grounds to believe a data breach has occurred Young Life notify the impacted individuals and the Office of the Australian Information Commissioner as soon as practicable.

Overseas Disclosure

Young Life may engage a cloud service provider located overseas for the limited purpose of storing information securely and providing Young Life with access to it. These service providers are obliged to safeguard the information they hold on our behalf.

Whilst it is not practicable to list every country in which these recipients are located, it is likely that the countries to which your information may be disclosed may include, but not limited to United Kingdom, New Zealand, Canada, China, Singapore, Hong Kong and United States of America.

You are taken to expressly agree and consent to the transfer, storing or processing of your personal information outside of Australia in submitting it to us. In providing consent, you understand and acknowledge that we take reasonable steps to protect your personal information.   Young Life cannot guarantee overseas recipients will comply with the Australian Privacy Principles.

Complaint and dispute resolution procedures

If you believe we have breached your privacy in any way, or you would like to discuss any issues about our privacy policy please contact our Privacy Officer.

We will try to satisfy any questions that you have and correct any errors on our part.

If we do not answer your concerns to your satisfaction you have the right to make a complaint to the Privacy Commissioner. The Privacy Commissioner may be contacted on 1300 363 992 or at http://www.oaic.gov.au/

Changing this privacy policy

We may make changes to this policy from time to time without notice.  Any changes will be reflected on the Young Life Australia web page.
